Continue the relationship from the existing record

Use this workflow after an inquiry, booking, visit, purchase, or period of inactivity. RevDesk follows the approved schedule, helps the customer take a clear next step, and records the result for the person or system that owns the relationship.

Prerequisites

  • A reliable customer, appointment, or service event from Deal Operations or a verified integration
  • Eligibility and suppression rules for the follow-up purpose
  • A booking, feedback, review, service, or reactivation outcome
  • An owner for complaints, sensitive replies, and exceptions

Trigger and input

Choose one lifecycle event, such as a new appointment, missed appointment, completed service, renewal window, or approved inactive-customer segment. Include the original context and current status so the customer is not asked to repeat information or contacted after the need has already been resolved.

Controls

  • Use a purpose-specific schedule and attempt limit.
  • Keep transactional reminders separate from promotional outreach.
  • Define which changes may happen automatically and which require confirmation or review.
  • Route dissatisfaction, clinical or legal questions, disputes, and sensitive exceptions to a person.
  • Stop on completion, opt-out, invalid contact data, human takeover, or a changed source record.

Launch

  1. Select one lifecycle trigger and a small set of recent records.
  2. Write the desired next step and the conditions that end the task.
  3. Connect the calendar, feedback destination, or record system needed to complete it.
  4. Test completed, rescheduled, dissatisfied, no-response, and opt-out scenarios.
  5. Review the first production outcomes before increasing the time window or audience.

Verify

Confirm the customer receives the correct context, any booking or status change reaches the owning system, negative feedback is routed privately, and completed or opted-out customers receive no later actions.

Measure

Track confirmations, recovered appointments, reactivations, completed follow-ups, human escalations, opt-outs, and incorrect-state reports. Measure reviews or referrals only after confirming that dissatisfied responses follow the intended service-recovery path.

Troubleshooting

  • A completed customer is contacted again: inspect source synchronization and stopping events.
  • Reminders have stale details: confirm which calendar or record owns time, location, and status.
  • Negative feedback is sent publicly: require sentiment or response review before sharing a review link.
  • A person cannot see the history: verify inbox threading and the integration write-back fields.
